01

Introduction

Antiques & Coins Exchange ("we", "us", "our") is committed to protecting your privacy and handling your personal information responsibly, in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA). This Privacy Policy explains what personal information we collect through this website, why we collect it, how we use and protect it, and what rights you have over your information.

By using this website, submitting an enquiry, or requesting a free appraisal, you consent to the collection and processing of your personal information as described in this policy.

02

Information We Collect

We only collect personal information that you voluntarily provide to us, through the following channels on this website:

  • Contact form: your name, email address, subject, and message.
  • Free appraisal request: your name, email address, phone number, a description of the item(s) you wish to have valued, and an optional photograph of the item.
  • Purchases and in-person sales: where required by law (see Section 4), identity information such as a government-issued ID, in connection with buying items from members of the public.
  • Technical information: standard, non-identifying technical data such as your browser type, device, and session/cart cookies needed for the site to function (see Section 8).

We do not knowingly collect payment card details directly — online payments are processed by our third-party payment provider, who handles that information under their own security standards.

03

How We Use Your Information

We use the personal information we collect to:

  • Respond to your enquiries submitted through our contact form.
  • Provide the free appraisal service you have requested, including assessing photographs of items submitted.
  • Process and fulfil orders, including arranging delivery and payment confirmation.
  • Maintain records of second-hand goods transactions as required by South African law.
  • Communicate with you about an enquiry, appraisal, or order you have already made.
  • Improve our website and services, and maintain the security of our systems.

We do not use your personal information for unsolicited marketing, and we do not sell your personal information to third parties.

04

Legal Basis for Processing

We process your personal information on one or more of the following bases:

  • Your consent — when you voluntarily submit a form on our website.
  • Performance of a contract — to process and fulfil an order you have placed with us.
  • Legal obligation — where legislation such as the Second-Hand Goods Act 6 of 2009 and the Prevention of Organised Crime Act require us to record the identity of sellers of second-hand goods.
  • Legitimate business interest — to respond to enquiries, prevent fraud, and keep our website secure, balanced against your right to privacy.

05

Sharing of Information

We do not sell or rent your personal information. We may share it only in the following limited circumstances:

  • With our payment processor, solely to complete a transaction you have initiated.
  • With courier or delivery partners, solely to deliver items you have purchased.
  • With independent grading authorities (such as NGC or PCGS), only where necessary to authenticate an item and only with your knowledge.
  • With law enforcement, regulators, or the South African Reserve Bank, where we are legally required to disclose information (for example, second-hand goods or anti-money-laundering record-keeping).
  • With professional advisors (such as our accountant or attorney), bound by confidentiality, where necessary for our legitimate business operations.

06

Data Storage & Security

Personal information you submit through this website is stored on secured servers. We apply reasonable technical and organisational measures — including access controls and secure file storage for uploaded photographs — to protect your information against loss, unauthorised access, alteration, or disclosure. No method of transmission or storage over the internet is completely secure, and while we work to protect your personal information, we cannot guarantee absolute security.

07

Data Retention

We retain personal information only for as long as necessary to fulfil the purpose for which it was collected, including any applicable legal, accounting, or reporting requirements. Enquiry and appraisal submissions are retained for a reasonable administrative period; records relating to second-hand goods transactions are retained for the period required by applicable South African legislation. When information is no longer required, we take reasonable steps to delete or de-identify it.

08

Cookies

This website uses functional cookies necessary for it to work correctly — for example, to remember items in your shopping cart, your selected currency, and your language preference. These cookies do not identify you personally. We do not currently use third-party advertising or analytics cookies; if this changes in future, we will update this policy accordingly. You can control or delete cookies through your browser settings, though doing so may affect some site functionality.

09

Your Rights Under POPIA

Subject to applicable law, you have the right to:

  • Request confirmation of whether we hold personal information about you, and access to that information.
  • Request correction of any personal information that is inaccurate, incomplete, or outdated.
  • Request that we delete or destroy personal information we are no longer authorised to retain.
  • Object to the processing of your personal information on reasonable grounds.
  • Withdraw consent you previously provided, where processing is based on consent, without affecting the lawfulness of processing before withdrawal.

To exercise any of these rights, please contact us using the details in Section 12 below.

10

Children's Privacy

Our website and services are not directed at children, and we do not knowingly collect personal information from children without the consent of a parent or guardian, in line with our Terms of Service.
